How the estimate is worked out
The estimator uses real prices from our live catalogue — the same figures you see on every product page. It turns your guest count into realistic quantities (one chair per guest, one dining table per eight, a dance floor and floating stage sized to the crowd, one bar per eighty guests) and multiplies each by its catalogue price, then scales for how long the pieces are on-site. The result is shown as a range because your final proposal depends on the exact pieces, finishes and layout you choose. It is an indicative equipment budget, not a quote — delivery and styling are quoted separately once we know your venue.
Budget FAQ
How much does it cost to equip a wedding in Bali?
For equipment hire alone, a Bali wedding for around 80 guests typically lands between Rp 15,000,000 and Rp 40,000,000 (roughly $950–$2,500), depending on the pieces you choose. A floating stage, ceremony arch, seating for the guests and a lighting package sit in that band. Statement additions — a clear acrylic pergola, an LED bar, a full dance floor over the pool — push it higher. Delivery, installation and styling are quoted separately per venue. Our Event Budget Estimator returns a live figure for your exact guest count and piece list.
How much does event equipment cost per guest in Bali?
As a rule of thumb, plan on roughly Rp 150,000 to Rp 400,000 per guest for equipment hire (about $10–$25 per head), covering seating, tables, dance floor and lighting scaled to the crowd. Signature pieces that don't scale with headcount — arches, bars, floating stages — are added on top as fixed items. Bigger events pay less per guest as fixed pieces spread across more people.
What's the biggest cost in a Bali event setup?
For most events it's the statement structures — a floating stage over the pool, a bespoke acrylic arch or pergola, or an LED bar — which run from Rp 1,500,000 into the tens of millions each. Seating and tables are individually cheap but add up across a large guest count. Lighting and decor are the most flexible line: you can dial a package up or down without changing the shape of the event.
Does the budget estimate include delivery and setup?
No. The Event Budget Estimator prices equipment hire only, using live catalogue prices. Delivery, installation, styling and teardown are quoted separately because they depend on your venue, its access and the layout. Once you request a proposal, we return a firm all-in figure, usually within the day.
